The opportunity
We are looking for a dynamic and proactive individual to ensure smooth and compliant operations at RAAF Base Edinburgh. Reporting to the National Manager for Business Support and Site Services, you will be a trusted self-starter capable of working autonomously in a matrix environment.
In your daily role, you will collaborate with the Senior Site Service Lead and engage with local Defence base management, service providers, and contractors to maintain a safe and compliant work environment for our employees. As the primary point of contact for various facilities on the base, your responsibilities will include escorting contractors, coordinating their activities, and managing program modifications related to facilities.

Key Responsibilities:
Operational Support:
Assist the Facilities Manager in overseeing facility operations for efficiency.
Coordinate maintenance requests and ensure timely issue resolution.
Conduct inspections of contractor works to ensure compliance and quality is maintained.
Facilitate site inductions for contractors and personnel as needed.
Support supply chain management for purchase requisitions related to facilities.
Team Collaboration:
Collaborate with program team members to foster a high-performance culture.
Participate in team meetings to discuss operational improvements.
Project Assistance:
Support planning and execution of facility projects, including renovations and relocations.
Analyze facility performance data to identify improvement opportunities.
Vendor Coordination:
Maintain relationships with external vendors and service providers, ensuring effective communication and service delivery.
Coordinate and escort contractors for facility related services, as required
Monitor vendor performance and report issues to the Senior Site Service Manager
Budget Support:
Assist in tracking expenditures and contribute to budget preparation, as required
Identify and report cost-effective solutions for facility operations.
Safety and Compliance:
Participate in safety audits and ensure compliance with regulations.
Ensure facility operations comply with fire, health, safety, and building codes, including coordinating training for First Aid officers and Wardens.
Communication and Reporting:
Serve as the primary contact for facility-related inquiries.
Prepare updates on facility operations and project status for the Senior Site Service Lead.
Regularly communicate updates and changes to the Senior Site Service Lead as it relates to floor plans, employee facility movements, rules, policies, and local requirements.
Acts as the key point of contact for the RAAF Base EDN P8SP sites with the Commonwealth of Australia (CoA) representatives.
Responsible for communications to building occupants of relevant facilities activities such as power outs, works planned or general notifications that may impact occupants (including managing distribution lists)
Experience/Qualifications
Relevant qualifications associated with business or other relevant technical background.
3+ years direct experience in facilities, office management or site services operational role
Experience working in a large matrix organization
Experience working remotely with a geographically dispersed core team
Experience dealing with senior stakeholders and translating operational requirements into actionable deliverables
Experience with managing and coordinating site operations as it pertains to local laws and company policies and procedures
Strong relationship building and stakeholder management skills
Project Management experience/qualifications a plu
